Lesson 5 of 6 · 3 min

Invite your accountant, and who can do what

Everyone signs in as themselves, with a role: owner, admin, accountant or staff. Here's what each can do.

  1. Settings → Team → Invite

Everyone signs in with their own account, so the books show who did what. Settings, then Team, then Invite: their email, their name if you like, and their role. Ledger gives you their invite link to send however suits; it works for 14 days, and Resend gives it another 14.
  2. The owner can do everything. An admin can too, except close the business or hand it over. An accountant keeps the books: sales, purchases, stock, the bank, journals, reports and the lock date, but not the team, the plan or the business's settings. Staff work the sales desk: invoices, customers, payments received and items.
  3. They open the link and sign up with that email (or join with the account they already have), and they're on the team. Once they've accepted, each extra person adds Rs 150 a month in Pakistan, £0.50 in the UK, $0.60 everywhere else; an invitation still waiting costs nothing.
  4. So Kamran, your accountant, can post journals and close a month with the lock date, and Bilal on the sales desk can make invoices and record what customers pay without seeing the bank or the profit. To remove someone, press Remove beside them in Settings → Team; to give them another role, remove them and invite them again with the new one.
